The entries here determine what a user sees when entering or maintaining timesheet data. It is only relevant if a user’s login allows access to timesheets, otherwise the timesheet views will not be available. If access to timesheets is permitted, these settings will define the data that a user sees and what the user can do with the data.


Timesheet Submissions

is checked if the user has the ability to approve, reject or unlock timesheet entries that have been submitted for approval. Such users will be able to access a Timesheet Approvals selection at My Work, otherwise the normal Approvals selection will appear.

Override Time Entry Format with Percent

allows users to enter time as a percentage of their standard day length. This is then converted to actual time for all other parts of the system.

Timesheet Cost/Charge Access

determines if the user sees the cost and charge values in addition to input time, when processing timesheet data. In each case the options are:

 

None

no cost or charge information appears at all.

 

View Code

shows the cost or charge code that identifies the rate but does not display the associated amount or permit the code to be changed.

 

View Code and Amount

shows both the code and amount but allows no change to either.

 

Change Code

displays the cost or charge code and allows a different one to be selected from those available for the resource. However, no amounts appear.

 

Change Code and View Amount

shows both the code and amount and allows another available code to be selected.

 

Change Code and Amount

provides unrestricted access to cost or charge details since all information is shown and both the code and the amount can be changed.

 

If you select any of the last three options, the Cost Code will be available at the Timesheet Entry grid.

Chargeable Timesheets

distinguishes between those timesheets that contain time that is chargeable to clients and others that may only be for internal work and so are not chargeable. Whether a timesheet entry is chargeable depends on a combination of the settings for the recorded project and activity. Thus:

         chargeable activity is charged to a chargeable project

         a non-chargeable activity is never charged, even if the project is chargeable

       an activity that is normally chargeable is not charged to a non-chargeable project.

Here you will determine not whether the timesheets themselves are accessed, but whether they are identified as being chargeable. You can choose:

 

None

if the chargeable indicator is not to appear for logins based on this profile.

 

View

to show the chargeable indicator but not allow it to be changed.

 

Change

to both show and permit change to the chargeable indicator. This will allow a charge not to be raised when it otherwise would be, or a charge to be specifically raised for a non-chargeable activity or project.

Timesheet Team

determines if a resource’s team is to appear for timesheet entries. Each resource has a default team and so you can choose:

 

None

if the team is not to appear.

 

View

to display the team but not allow it to be altered.

 

Change

to show the team and allow another to be selected from those available for the resource.


 

 

Timesheet Cost Center

also determines whether the Cost Center can be changed during timesheet entry.

Timesheet Role

works in the same way as for department so that the resource’s role may be recorded for timesheet entries. The Timesheet Role must be set to ‘Change’ for users to be able to set up a list of available roles.





Features:

allow you to prevent a user seeing certain features that are not relevant to logins with this profile. If a box is left unchecked, the associated information does not appear at all.

Maintain Overtime Status

determines if the overtime indicator appears for timesheet entry, so that a user can choose to calculate costs and charges based on overtime rates rather than standard ones, and both standard and overtime totals are shown. If unchecked, the indicator does not appear and all time is at standard rates.

View Invoiced Status

will, if checked, show an ‘Invoiced’ column for timesheet entries so that a user can identify those that have been invoiced.

View Approval Status

is not relevant if automatic approval of timesheets applies for the resource, since all timesheets become approved once they are saved. In other cases, you can choose whether to show the ‘Approved’ column for timesheet entries to identify those that are approved and others that need to be approved.

Maintain Timesheet Notes

indicates if a user can view and input notes for each timesheet entry. These notes can be included in reports. If checked, you can also check Timesheet Notes Required if input is mandatory.

Edit Submitted Timesheets

is checked if the user can change the content of timesheets that are already submitted on the Timesheet Search screen.

Enter negative Timesheet Hours

will prevent negative hours being input if left unchecked. Check to allow negative hours that may correct previous over-bookings.

Enter time on My Assignments

applies to the My Work screen. If checked, time can be recorded on the My Assignment widgets specified at the My Work home tab.

cause these columns to appear for timesheet entry if checked.

Show Activity

cause these columns to appear for timesheet entry if checked. If unchecked, the default activity for the resource is used (Resource Defaults).


Row Entry Custom Fields

allows up to two custom fields  with a keywords data type, to be specified for entry.
